I've got an Office 365 user with Outlook 2016 Macintosh v. 15.2.3/Mac OS 10.11.5. His exchange account will connect normally when Outlook is first opened. Then after about an hour or so it will show 'Not Connected'. A quit and restart of Outlook will reestablish the connection only to repeat the 'Not Connected' behavior until another quit/restart.
I've deleted the Exchange account and re-entered it. The issue persists. I solved my own issue. I noticed that the user had established a large hierarchy of folders on the Exchange server in his INBOX. After moving the folders to the root level of the Exchange account (out of the Inbox), all is well. A couple of updates: This 'disconnection' always happens in the morning on first opening the laptop.
The user will close the laptop with Outlook open and connected at 6:00PM. In the morning he opens it and Outlook says it's 'Connected' and 'All Folders are up to date' but no new mail has come in since 6:00PM the day before. All functions of Outlook appear to work, new mail can be sent, old mail read, folders opened and closed, etc.

If the Send Receive button is hit, Outlook reports 'Sync Pending' and never resolves. After Quitting and relaunching Outlook, new mail comes flowing in. Attached is the sync error. After leaving Outlook open, sleeping laptop overnight, Outlook exhibited the same 'disconnected' state. No new mail was flowing into the account, even though it stated 'Connected All Folders Up to Date'. While in this state, I attempted to add another account.
Outlook could not access the Exchange server to add the account. Upon quitting and relaunching Outlook, mail flowed in and Outlook performed normally. So it would appear that it's NOT account OR profile related. Hi Offdwall, Since it is an Office 365 Exchange account, to check the web service status, may I confirm whether you have tried logging into Outlook Web App(OWA)? Also, if you configure an Outlook.com account or Gmail account in Outlook for Mac, does the issue persist? And I’d like to confirm how you configure your account, via POP3/IMAP/Exchange.

This document is written to assist with configuring Outlook 2010, 2013, and 2016 to access a shared mailbox as an Outlook profile on Windows or Mac. This can be useful for a user to access the mailbox to setup specific permissions for other users or when there is a staff member who needs to access only the shared mailbox. This will include instructions for using the shared mailbox profile to view departmental staff members calendars. Shared mailbox details for a department: Mailbox name: DeptPrefixshortname.smb (ITSMailbox.smb) Display name in Global Address List: Friendly name that shows up in the Global Address List Primary SMTP address: [email protected] (This can be created by ITS or we can transfer an existing alias to deliver mail to the Shared Mailbox, if this has not already been setup or specified from the original request to create the Shared Mailbox ).
Associated security group to grant access: ad.unc.edu/unc/prefix/departmental users/shared mailboxes/DeptPrefixshortname mailbox full access. The prefix is created by ITS and will be assigned to each shared mailbox name (i.e. ITS Creating an Outlook profile that connects to shared mailbox Outlook 2010, 2013, and 2016. Start Menu → Control Panel → User Accounts → Mail. The Mail Setup Configuration panel will open. Select the Show Profiles button at the bottom of this panel. If you would like to make this the default profile that Outlook will open, please select the option to “ Always use this profile” and then choose the DepartmentStaff profile you just created from the drop down list. Close the profiles panel.
Restart Outlook. Using the shared mailbox: In Outlook 2010, 2013, and 2016. Start Outlook.
If prompted to select a profile, choose the DepartmentStaff profile you created. If the person is logged into Windows as a user with access to the shared mailbox, Outlook will open without authentication prompts. If the person logged into Windows as a user who does not have access to the shared mailbox, you will be prompted for credentials.
Please enter credentials with access to the shared mailbox (granted through the associated security group in your Organization Unit (OU) or DeptPrefix referenced above). Make sure to enter the username in the format [email protected]. In Outlook 2011 and 2016 for Mac. Select the Tools menu and then Accounts. In the window that appears, select your Office 365 account. Click the Advanced button.
Click the Delegate tab. In the section named “ People I am a delegate for:“, click the Add button. The Select User window will appear.
Type in the name of the shared mailbox in the text box and click the Find button. Select the desired user from the search result list that appears and click OK. Click OK to close the accounts window. After a brief period, the shared mailbox will appear as a folder in the View list on the left side. To view Departmental Staff Calendars. Calendar permission for the user will need to be assigned to the Shared Mailbox.
The permissions will need to be set server-side by ITS Administrator or the owner of the calendar. Please contact ITS Service desk at 919-962-Help (962-4357) or submit a help request at either for adding users or having the users added.
Please have the list of onyens that will need access to the Shared Mailbox Calendar as well as the Shared Mailbox Name. After opening Outlook, switch from the Mailbox view to the Calendar view. Click the Open Calendar button on the ribbon and select the “ From Address Book” option.
Search for a department staff member and select OK. This staff member must already be configured to allow the shared mailbox to access their calendar. (Departmental Admin should have configured this permission).
The staff member’s calendar will be opened with editor access. Note: The link for this staff member’s calendar will persist in Outlook after closing the client. The shared mailbox user can open any calendar for which they have been granted access.
